AIMS App - Privacy Policy
The AIMS App ("the App") is provided by AIMS Holding ("AIMS", "we"), Jeddah, Kingdom of Saudi Arabia. The App is the central place for AIMS employees to reach the group's applications, such as reports, human-capital services, e-signature, and email. This policy explains what information the App handles, how it is used, and your choices.
1. Who the App is for
The App is an internal workforce application. Using it requires an active AIMS Microsoft work account (an @aims.com account provided to you by AIMS). It is not directed at the general public or at children.
2. Information the App processes
- Sign-in information. You sign in with your AIMS Microsoft account through Microsoft Entra ID. The App receives your name, work email address, and the application roles AIMS has assigned to you, and uses them solely to verify your identity and decide which applications to show you. The App never sees or stores your password - authentication happens entirely with Microsoft.
- Preferences on your device. Your language choice (English/Arabic) and your sign-in session tokens are stored locally on your device only. They are removed when you sign out or uninstall the App.
- Messages you choose to send. The "Contact Us" form sends an email from your own AIMS mailbox, through Microsoft 365, to the App team. The message content is what you write; a copy remains in your own Sent folder.
- Nothing else. The App contains no analytics, no advertising, and no trackers. It does not collect your location, contacts, photos, camera, microphone, health data, or any device identifiers, and it does not profile you.
3. How information is used
Information is used only to: (a) authenticate you; (b) show you the applications you are authorized to see; (c) let designated administrators view the list of access assignments held in Microsoft Entra ID; and (d) receive and respond to messages you send through Contact Us. AIMS does not sell personal data, and does not use it for marketing.
4. Sharing and third parties
Your sign-in data is processed within AIMS's Microsoft 365 environment, with Microsoft acting as service provider. Tiles in the App open other services used by AIMS (for example SAP SuccessFactors, Signeasy, Microsoft Outlook, and aims.com). Once you open such a service, your use of it is governed by that service's own terms and privacy policy - the App itself does not pass your data to them.
5. Security and retention
The App is served over encrypted connections (HTTPS) and access is restricted by role. Sign-in records are kept by Microsoft Entra ID in accordance with AIMS information-technology policies. Emails sent via Contact Us are retained like ordinary business email. Session data on your device lasts until you sign out or uninstall the App.
6. Your rights
In accordance with the Saudi Personal Data Protection Law (PDPL) and AIMS internal policies, you may ask to access, correct, or delete personal data handled by the App by contacting us using the details below.
7. Changes to this policy
If we change this policy, the updated version will be published at this address with a new effective date.
